Add Your Hours, Services and FAQs So Your AI Agent Stops Guessing

"Are you open Saturday?" "Do you do Invisalign?" "Where are you, exactly?"

These are the three calls your front desk answers most often and the three your AI agent is most likely to get wrong, because nobody ever told it the answers. Teach it once and it answers correctly every time.

What to fill in

All of this lives in the office information section of your instructions, inside AI Studio. Three things to add:

Business hours

Be explicit about when you are closed, not just when you are open. "Open weekdays 9:00 to 5:00, closed weekends" lets the agent tell a Sunday caller to come back Monday, instead of leaving them guessing.

Services you offer, and services you do not

The second half matters more than the first. An agent that knows you do not offer a service will say so and then offer what you do have. An agent that only knows your service list will improvise when asked about anything else, which is exactly how you end up with a patient booked for a treatment you do not provide.

FAQs

Your address plus the details people actually need to find you. Landmarks, what the building is next to, where to park. This is the kind of thing your team repeats twenty times a week without thinking about it.

What it sounds like on a real call

With the office information filled in, a new patient called asking three things at once: when they could drop off records, the address, and how to find the place. The agent gave the full street address, the landmarks nearby, the weekday hours, confirmed the office was closed that day, and told them to come back Monday.

Then the caller asked about teeth whitening. The agent said the practice does not offer it, listed what it does offer instead, and offered to make a note for the team to follow up.

That is the difference between an agent that has your information and one that is filling in blanks.

A note on the order you do this in

Fill in office information before you start writing detailed instructions. Most "the agent gave a wrong answer" problems turn out to be missing facts rather than a badly written rule. Give it the facts first, then shape how it handles the edge cases.
