Fill Same-Day Dental Openings from Calls You Already Get

It is 10:15 am on a Wednesday at Riverside Dental. A patient calls to cancel a 2:00 pm appointment, and an hour of the afternoon hygiene schedule opens up. At 11:40 am a different patient calls. She is overdue for a cleaning, has the afternoon off, and asks for the earliest time she can come in. Your AI agent offers her 9:30 tomorrow morning, and she takes it.

Nobody did anything wrong. The appointment was booked correctly, the patient was polite about it, and the 2:00 pm chair stayed empty.

The opening and the patient who wanted it were on the same phone line two hours apart. They never met.

The problem

Most advice on filling same-day dental appointments after a cancellation is about calling out. Keep a list of patients who want to come in sooner. Text them the moment a time opens. It works, and it also asks your front desk to stop in the middle of the day and start dialing, usually while a patient is standing at the counter.

The easier fill is the call coming in. A caller who asks for "the earliest you have" has already told you they are flexible and ready. If today has an open chair, that caller is the fastest way to fill it.

Many practices already plan for this. The American Dental Association's guidance on office hours says: "Leave time open daily for emergency appointments." The same logic applies to any time that opens up today: it only helps if the person on the phone hears about it.

By default, when a caller asks your AI agent for the earliest opening, it starts looking after today. For a practice that wants today's openings filled, that means the caller hears about a later day while a chair sits open this afternoon.

The fix: Same-Day Booking

Same-Day Booking is one checkbox. Turn it on, and when a caller asks for the earliest opening, your AI agent starts with today. If a time is open this afternoon, the caller hears about it first.

Here is how the 11:40 am call goes at Riverside Dental with it turned on:

Caller: "I need to get in for a cleaning. What is the earliest you can get me in?"

AI agent: "We have an opening today at 2:00 pm. Would you like me to book that for you?"

Caller: "Today works. Yes, please."

The 2:00 pm chair is filled, and nobody at the front desk had to stop and make calls to fill it.

How it works

You turn it on yourself in AI Studio.

  1. Open AI Studio and select your agent.
  2. Open Integration Settings.
  3. Find the Same-Day Booking section and tick Allow same-day appointments. The status line changes to "Same-day booking is enabled".
  4. Click Save.

The box starts unticked. Same-Day Booking is optional, and you can untick it at any time.

With the box ticked, your agent follows a few simple rules:

  • Today's times need at least 30 minutes of notice. When a caller asks for the earliest opening, a time that starts in ten minutes is not offered.
  • If nothing is open today, your agent moves on to the next day that has an opening.
  • Your other scheduling rules still apply. A day you marked in Closed Days stays closed, and if you limited your agent to certain types in Allowed Appointment Types, those stay the only ones it books.
  • It is set per agent, not per location. If you run more than one agent, tick the box for each one that should offer today's openings.

Use cases

1. The mid-morning cancellation

An appointment cancels at 10:15 am. With Same-Day Booking on, the next caller who asks for the earliest time, and whose visit fits the opening, hears about this afternoon. Your outbound list is still there for the openings that inbound calls do not fill.

2. The caller in pain

Emergency appointment types are a special case: your agent looks from today for them whether or not the box is ticked. This works by the appointment type's name: a type with "Emergency" in its name is searched from today. If your urgent visits use a different name, such as "Limited Exam", that type follows the checkbox like any other. The 30-minute notice and your other scheduling rules apply here too.

3. The new patient who is ready now

A new patient who calls today may be calling other practices too. Offering a time this afternoon, when you have one, is a simple way to be the practice they pick.

Why this matters for your practice

Before: A chair opens at 10:15 am. Filling it depends on someone at the front desk finding time to make calls, while callers who want the earliest opening hear about a later day.

After: The same callers hear about today first. Some openings fill from the calls you already get, and your front desk spends its time on the patient in front of them.

What to know before you turn it on

  • Phone calls only. Same-Day Booking applies to phone calls, not texts or chat.
  • It needs the scheduling connection. Same-Day Booking works for agents connected to your practice management system (PMS) through NexHealth. If you do not see Integration Settings or the Same-Day Booking section for your agent, message Yobi support from your Yobi inbox.
  • It changes where your agent starts looking. It does not add openings. Your agent can only offer times that are actually open in your schedule.

FAQ

Does Same-Day Booking cost extra?

No. It is included in the AI Integrated plan.

Will my agent offer a time that starts in a few minutes?

No. When a caller asks for the earliest opening, your agent only offers today's times that start at least 30 minutes after the call.

Do I need to turn it on for every agent?

Yes. The setting belongs to one agent. Tick the box for each agent that should offer today's openings.

Does it override my closed days?

No. Closed days and your other scheduling rules still apply to today's openings.

Does it work for texts and web chat?

No. It applies to phone calls.
